Outlook mail merge, step by step

1. Build your recipient list in an Excel sheet with a column for each merge field (name, company, etc.).
2. In Word, open Mailings → Start Mail Merge → Email Messages, and connect the Excel sheet as your data source.
3. Insert merge fields into your message where personalisation should appear.
4. Finish and merge to Outlook, which sends each recipient an individually addressed copy.

Signs you have hit Outlook's limits

Watch for a "Send Immediately" throttling message, emails sitting in the Outbox far longer than usual, or an account restriction notice from Microsoft — all signs you are pushing against the daily cap rather than a temporary glitch.

Microsoft 365 vs. free Outlook.com

The two are governed by different limits. Free Outlook.com accounts cap out much lower and more strictly than a Microsoft 365 business account, and 365's roughly 10,000-recipient daily ceiling is still a business-mail limit, not a marketing one — Microsoft actively throttles accounts that look like they are running campaigns through it.

A quick check before a client-facing send

Send yourself a test through Outlook first and check formatting on both desktop and mobile — a merge or BCC send that looks fine in the compose window can render differently once delivered, and catching that before clients see it protects your professionalism.

If your Outlook account is shared across a small team, agree on a consistent naming convention for contact groups so everyone can find and reuse the same lists.
